Secretary

Executive Board

The Board Secretary is a critical member of the Executive Board of My Sister's Keeper-Cleveland, ensuring that the organization’s governance operates effectively. This role involves managing records, maintaining compliance with bylaws, supporting communication among board members, and facilitating the smooth execution of board activities. The Secretary embodies professionalism and aligns their work with the mission to support women undergoing cancer treatment.

Key Responsibilities:

Board Administration and Communication

  • Prepare, distribute, and archive meeting agendas, minutes, and supporting documentation for all board and committee meetings.

  • Maintain an accurate and up-to-date calendar of board meetings, ensuring members are notified in advance.

  • Serve as the primary point of communication between board members regarding official documentation and decisions.

Recordkeeping and Compliance

  • Maintain organized and accessible records, including meeting minutes, organizational bylaws, and policies.

  • Ensure compliance with nonprofit legal requirements, including the filing of meeting minutes and board decisions.

  • Monitor adherence to board governance protocols and bylaws, recommending updates as needed.

Support for Board and Committee Activities

  • Assist the Chair in planning and conducting board meetings, including ensuring quorum and adherence to meeting protocols.

  • Track and follow up on action items and deliverables assigned to board members during meetings.

  • Provide administrative support to committees, including scheduling meetings and distributing materials.

Event and Outreach Coordination

  • Support board-led events by providing administrative assistance, including documentation, scheduling, and communication.

  • Assist in coordinating outreach efforts to ensure alignment with the organization’s mission and goals.

Other Responsibilities

  • Maintain confidentiality in all matters related to board activities.

  • Promote My Sister's Keeper-Cleveland’s mission and values in all interactions and activities.

Qualifications:

  • Experience: Previous experience in administrative roles, nonprofit governance, or board management is preferred.

  • Skills:Excellent organizational and time management skills.
    Strong written and verbal communication abilities.
    Attention to detail and the ability to maintain accurate records.
    Proficiency with tools such as Microsoft Office, Google Workspace, and virtual meeting platforms.

  • Education: High school diploma or equivalent required; Bachelor’s degree preferred.

  • Commitment to My Sister's Keeper-Cleveland’s mission to support women undergoing cancer treatment.

  • Enthusiasm for supporting a women-led, Black-owned nonprofit organization.

Commitment:

  • Attend at least 75% of all board meetings, as required by organizational policy.

  • Dedicate approximately 8-12 hours per month to board-related activities.

  • Actively participate in at least one board committee and support five My Sister's Keeper-Cleveland events annually.
